A dealer incentive tour is a structured reward programme, run for the distributors, regional stockists, and tier-one channel partners who carried your year. It is not a holiday. It is a thank-you that travels — usually four nights, usually one gala, usually in a place that photographs well.

How we run a programme

Six steps. Same on the smallest book, same on the largest.

The sequence below is the spine we have used since 2009. It works for twenty-five dealers in Thailand and for fourteen hundred in Goa. The pieces change, the order doesn't.

The briefing

The sales head, the HR team, and the brand sit with us for two hours. Goals, headcount, tier definitions, budget band, preferred timing, and what the marketing team wants the photographs to look like. We capture more than we need on purpose.

The shortlist

Within seven days we send three destination dossiers, two agenda drafts, and an indicative per-person cost table. From here the brand picks one path and we sign a programme letter, not a contract on a multi-page PDF.

The recce

For programmes above 200 pax we walk the venue and the gala setup in person. For smaller books we send a recorded walkthrough with the venue manager on camera. The recce is where the gala night stops being a concept and starts being a layout.

The contracting

Flights blocked under one PNR. Hotels held with deposit. Vendors confirmed, deposits tracked on a shared sheet. The finance team at the brand sees one number every Friday; line items stay with us.

A domestic three-night programme in a five-star sits around ₹75,000 per person for groups of sixty or more, with the gala included. International Asia programmes run between US$2,200 and US$3,500 per person, again with the gala included. The real number depends on room category, gala scale, travel class, and how much entertainment weight the brand wants on the night.

Do you handle visas, flights, and airport logistics?+

Yes, end-to-end. Documentation, bulk ticketing on a single PNR where possible, travel insurance, on-arrival desks in every city, coach transfers, and meet-and-greet at the home airport. Room drops, dietary flags, and accessibility needs are also captured during the registration desk and carried through to the hotel.

Can the awards night be fully produced by your team?+

Yes. Stage design, lighting, sound, AV, winners' film, trophy fabrication, MC, anchors, scripted entertainment, and run-of-show — all under our umbrella. If the brand already has a creative agency or an existing trophy vendor, we work alongside them rather than displacing them.

Twenty-five on the smallest international programme we have run, and around 1,400 on the largest domestic. The operating model changes at each end of that range — at small sizes we run a tight boutique setup, at large sizes we run a layered zone-wise model with bilingual anchors and dedicated leadership handlers.
